How to Create an Academic Plan

If a student is unable to feasibly meet all Satisfactory Academic Progress (SAP) requirements within one semester, the student's academic adviser must develop an academic plan that will allow the student to successfully meet SAP in the future. If necessary, the academic plan may extend beyond the current academic year. If SAP failure was based on the maximum timeframe measure, the student must complete all credits required for degree completion by the end of the last semester of the academic plan.

Under an academic plan, a student's progress will be monitored at the end of each semester in order to ensure that the student is progressing according to the requirements of the plan. As long as the student is progressing accordingly, the student will remain eligible for financial aid. If the student is not meeting the requirements of the plan, the student will not be eligible to receive financial aid until all components of SAP have been met.

Academic Advisers may follow the steps below to complete an academic plan for a student who has failed SAP:

Step 1: Check the student’s record in Banner (Screen ROAUSDF Fields 182-185) to confirm why the student has failed federal SAP (GPA, Pace, Maximum Timeframe, or a combination of measures)
Step 2:  Determine whether an academic plan is required.

Step 3:  Enter Minimum Credit and GPA Requirements

If a plan is required, review the student’s record and enter the minimum credit and GPA requirements the student must complete per semester to meet SAP.

a. Enter Banner Term Codes (e.g., 202520, 202530, etc.). Please note the academic plan may not exceed 4 semesters. J.D. Program Exception: Students enrolled in Juris Doctor (J.D.) Program courses excluded under an academic forgiveness of readmit policy, may have academic plans that are longer than 4 semesters.

b. Indicate the minimum number of credits the student must successfully complete for each semester under the plan

c. In the “Number of Credits Repeated” section, indicate if any of the credits for the semester will be repeated. Only enter repeats that will be processed as I/E. 

Some program offices do not grant I/E or have limitations on how many times a student may replace a grade. In order for the academic plan to be valid, you must ensure that the suggested academic plan follows your program’s repeat course policies and procedures.

d. Enter the minimum GPA required for each semester.

Follow the steps below to calculate a student's cumulative semester grade point average (GPA) for SAP purposes:

Step 3: Determine semester GPA

  1. Add semester TQPs and semester Total Credits Earned

  2. Determine cumulative GPA (at the end of the academic plan).
    Divide TQPs by total attempted credits to determine cumulative GPA.

    30/15 = 2.0

 The academic plan must allow the student to meet the minimum GPA requirement upon completion.

To determine the number of credits the academic plan must include in order for the student to meet the pace measure, use the following formula:

(2 x total attempted credits) minus (3 x total hours earned)

For total credits attempted, use the information from Banner screen ROAUSDF, field 162.

Example
Student attempted 15 credits and earned 6. PACE requirement will be:

(2x15) minus (3x6)

30 minus 18 = 12

The student must earn a minimum of 12 credits to meet pace. Consequently, the plan must include 12 credits or more.
