IRBManager Electronic Submission System

The Nova Southeastern University Institutional Review Board has launched an electronic submission system using IRBManager™. This new electronic submission system allows for a more efficient method to submit, review, and approve protocols.

Currently the New Protocol Submission Form for all new submissions along with the Amendment, Continuing Review, and Closing Report Forms for submissions originally submitted via the electronic submission system are live in IRBManager.  For more information regarding these forms please click one of the drop-down menus below.

If you completed your Initial Submission Form via the old paper format, please refer to the Paper Submission Forms page of our website to complete the necessary forms in paper format and mail to the IRB Office.

Please note: Students cannot begin the IRB process until their thesis or dissertation committee has approved their research proposal.

PLEASE NOTE: This is not an NSU-dedicated system so your NSU email and password will not work with IRBManager. You must first create a new user account. Please follow the directions below in order to create your new user account for IRBManager.

  1. Go to: https://nova.my.irbmanager.com/Login.aspx
  2. Click on "Click here to register".
  3. Enter the requested information into the registration form.
    • NSU researchers need to use their official NSU email address.
    • The study PI may not use personal email account because all official correspondences from the IRB can only be sent to your official NSU email address.
    • For researchers without an NSU email (i.e. a non-NSU student, staff, or faculty), please use an email account for professional correspondence.
  4. Once completed, click "Register".
  5. After completing the registration process, please complete the Researchers Qualifications xForm.
    • This form can be found under the "Actions" section, located on the left-hand side of your dashboard.

PLEASE NOTE: All NSU students, faculty, and staff must use their official NSU email address when registering for IRBManager.

If your New Protocol Submission Form was completed in the new IRBManager electronic submission system:

  1. Go to: https://nova.my.irbmanager.com/Login.aspx
  2. Log into your IRBManager account.
  3. Select "Home" located on the upper left-hand side of screen.
  4. Select the "1. Researchers Qualification Form" listed under the Actions column on left-hand side of the screen.
  5. Follow instructions to complete the electronic Researchers Qualification Form.

PLEASE NOTE: If you originally completed your New Protocol Submission Form in the old paper format, you do not need to complete the Researchers Qualification Form at this time.

PLEASE NOTE: All NSU students, faculty, and staff must use their official NSU email address when registering for IRBManager.

Starting a New Protocol Submission xForm:

  1. Go to: https://nova.my.irbmanager.com/Login.aspx
  2. Create or log into your IRBManager account.
  3. Select ""Home" located on the upper left-hand side of screen.
  4. Click on the "2. Click Here to Start New IRB Submission" listed under the Actions column on left-hand side of the screen.
  5. Follow instructions to complete the electronic New Protocol Submission Form

If your New Protocol Submission Form was completed in the new IRBManager electronic submission system:

  1. Go to: https://nova.my.irbmanager.com/Login.aspx
  2. Log into your IRBManager account.
  3. Select "Home" located on the upper left-hand side of screen.
  4. Click on "xForms" located under the My Documents & Forms column on the lower left-hand side of the screen
  5. Select the copy for amendment icon for "Copy for Amendment" (this will appear when mouse hovers over icon) next to the Protocol Code (IRB Number) for the study you wish to file an amendment/modification for.
  6. Follow instructions to complete the electronic Amendment Form.

PLEASE NOTE: If you originally completed your New Protocol Submission Form in the old paper format, you cannot use the IRBManager electronic submission system to file an amendment. You must complete the paper form found in our Paper Submission Forms section on our website and mail to our office.

If your New Protocol Submission Form was completed in the new IRBManager electronic submission system:

  1. Go to: https://nova.my.irbmanager.com/Login.aspx
  2. Log into your IRBManager account.
  3. Select ""Home" located on the upper left-hand side of screen.
  4. Click on "xForms" located under the My Documents & Forms column on the lower left-hand side of the screen
  5. Select the Protocol Code (IRB Number) for the study you wish to file a Continuing Review for.
  6. Click on "Start xForm" on the left side of the screen.
  7. Select the "Continuing Review Form".
  8. Follow instructions to complete the electronic Continuing Review Form.

PLEASE NOTE: If you originally completed your New Protocol Submission Form in the old paper format, you cannot use the IRBManager electronic submission system to file a Continuing Review Form. You must complete the paper form found in our Paper Submission Forms section on our website and mail to our office.

If your research has concluded, please complete a Closing Report Form.  This form must be submitted within 30 days of the conclusion of research activities (intervention/interaction with human subjects AND data analysis have ended).

If your Initial Submission Form was completed in the new IRBManager electronic submission system:

  1. Go to: https://nova.my.irbmanager.com/Login.aspx
  2. Log into your IRBManager account.
  3. Select "Home" located on the upper left-hand side of screen.
  4. Click on "xForms" located under the My Documents & Forms column on the lower left-hand side of the screen
  5. Select the Protocol Code (IRB Number) for the study you wish to file a Closing Report for.
  6. Click on "Start xForm" on the left side of the screen.
  7. Click on "Closing Report Form".
  8. Follow instructions to complete the electronic Closing Report Form.

PLEASE NOTE: If you originally completed your New Protocol Submission Form in the old paper format, you cannot use the IRBManager electronic submission system to file a Closing Report Form. You must complete the paper form found in our Paper Submission Forms section on our website and mail to our office.

Please note: You must complete the "Does my study need NSU IRB review?" checklist prior to begining this form to determine if your study meets the requirements for using this form.

Starting a Human Subjects Research Determination Form:

  1. Go to: https://nova.my.irbmanager.com/Login.aspx
  2. Create or log into your IRBManager account.
  3. Select ""Home" located on the upper left-hand side of screen.
  4. Click on the "xForm" link listed under the My Documents & Forms column on the bottom left-hand side of the screen.
  5. Click on "Start xForm".
  6. Click on "Human Subjects Research Determination Form".
  7. Follow instructions to complete and submit the electronic Human Subjects Research Determination Form.
  1. Go to: https://nova.my.irbmanager.com/Login.aspx
  2. Log into your IRBManager account.
  3. Go to "Home" page.
  4. Your IRB application can be found in the following locations:
    • At the bottom, center of the page under "My IRB Nos." will be all your completed IRB Protocols. OR
    • On the Home page, near the top in the center is “IRB Nos.”, which should be followed by “(1 Active)”, where you can find a link to take you there. OR
    • On the Home page, in the lower left hand corner, there is “MY Documents & Forms”, where you can find a link to “xForms” (my screen).  Clicking on that link will also take you to a list of your active xForms, including your approved protocol.
  1. Go to: https://nova.my.irbmanager.com/Login.aspx
  2. Log into your IRBManager account.
  3. Go to "Home" page.
  4. In the middle column under the xForms heading click on "xForms awaiting your attention".
  5. There you will find all the xForms you have been listed as a Collaborator on.

If your Initial Submission Form was completed in the new IRBManager electronic submission system:

  1. Go to: https://nova.my.irbmanager.com/Login.aspx
  2. Log into your IRBManager account.
  3. Select ""Home" located on the upper left-hand side of screen.
  4. Click on "xForms" located under the My Documents & Forms column on the lower left-hand side of the screen
  5. Select the Protocol Code (IRB Number) for the study you wish to print out.
  6. Scroll to the bottom of screen.
  7. Click on the "PDF" button located on the bottom of screen.
  8. This will download a PDF copy of the submission to the users computer which may then be saved and/or printed out.

Please note: Some Mac users are having issues with final submission of their IRB protocols in IRBManager. If you have issues, please log in using a PC and submit your protocol. The IRB Office is working to correct this issue.

Helpful Information:

  • PLEASE NOTE: All NSU students, faculty, and staff must use their official NSU email address when registering for IRBManager.
  • Internet Explorer (IE) CANNOT be used with IRBManager. Please use an alternate internet platform such as Firefox or Chrome.
  • IRBManager will not work correctly on mobile tablets or smart phones. Please login via computer.
