What is DocuSign eSignature?

NSU DocuSign (Electronic Signature) is a cloud-based enterprise digital signature application that offers the ability to easily upload and send documents for electronic signature to people inside or outside the University via email.  DocuSign empowers faculty and staff to design secure, fully digital workflows including legally binding signatures.

General Information

Any faculty or staff member with a valid NSU email account may use the service for NSU business-related purposes.

NSU DocuSign eSignature is an enterprise application provided as a free service by the Office of Innovation and Information Technology.
You can upload a variety of file types to NSU DocuSign eSignature, including Microsoft Word and Excel files, PDFs, and others. For a complete list of supported file types, see https://docs.docusign.com/DocuSignHelp/Content/supported-file-formats.htm.
Your documents will be stored in your NSU DocuSign eSignature account as long as your account is active. Non-HIPAA DocuSign accounts are configured to send a PDF attachment of the completed envelope to all recipients included in an envelope.  Accounts assigned as needing to transmit HIPAA data will require recipients to access the completed document from their DocuSign account.  Note: You may wish to download and save completed documents to your department’s preferred document repository. Documents deleted from your NSU DocuSign eSignature account cannot be recovered.
An electronic signature, or eSignature, is defined by the Federal ESIGN Act as an “electronic sound, symbol, or process, attached to or logically associated with a contract or other record and executed or adopted by a person with the intent to sign the record.” All fifty states have laws that define electronic signatures in substantially the same way.
You can use an iPad, iPhone, or Android or Windows 8 device to sign documents if you have the DocuSign app installed. You can also send a document for signature from the DocuSign app by loading the document from an email attachment, the OneDrive app or by using your mobile device camara to scan a document you have.  Download links for the DocuSign mobile apps are available at https://support.docusign.com/en/downloads.

Other Questions

Some “fillable form” and “active XFA form” PDF files will not upload properly for use with NSU DocuSign eSignature. You should first remove any interactive elements from the PDF before attempting to upload it. An easy way to remove these elements is to “print” the document to a PDF file using the Print menu in Adobe Acrobat or a similar program. You can then upload the standard PDF file to NSU DocuSign eSignature.

PDF files larger than 5 MB may not upload properly. Use Adobe Acrobat or a similar program to save your file as a Reduced Size PDF or an Optimized PDF to reduce the file size before uploading it to NSU DocuSign eSignature.

To create templates in NSU DocuSign eSignature, log into your DocuSign account, select the TEMPLATES tab, then click or tap NEW. Templates allow you to create a standard document where recipient roles, signing information, and commonly used fields can be set. Templates are helpful if you frequently send the same or similar documents to multiple people. For more information about templates, see https://support.docusign.com/en/guides/ndse-user-guide-working-with-templates or watch the Using Templates video available at https://support.docusign.com/en/videos/Using-Templates.

Note: Not all users have template creation access, if you need this access added to your account please submit a support ticket.

You can change the owner of a template by submitting a support ticket. Make certain to include the template name, original template owner, and new template owner in your request.
