Mail/Research FAQ

Yes, documents can be submitted by fax at: Admission 954-262-(3601, 3607, 3608, 3609) and Financial Aid 954-262-(1169, 3966, 4157, 4728).

Emails received from students who complete online financial aid forms. e.g., Teach grant, Loan Reduction/cancellation form, Title IV auth form. Please email forms to faidnsu@nova.edu.

Emails received via internal/NSU personnel. Students have access to submit their documents by emailing finaiddocs@nova.edu.

Electronictranscript@nova.edu and the electronictranscripts@nova.edu email is used for transcripts, evaluations, or test scores submitted from external institutions/organizations electronically through secure portals or trusted email addresses. Students and advisers have access to this email. If not downloaded through secure portals or trusted email addresses, documents are processed as UNOFFICIAL.

Admitdocs@nova.edu is used for admission documents received via email. Internal use only.

Finaid@nova.edu email is managed by the Call Center.

Official Transcript criteria:

  • Any transcript, regardless of language, that arrives in a sealed envelope from an educational institution is considered to be OFFICIAL.
  • Transcript should include: school's name, student's name and school's seal (raised or printed).
  • Registrar or authorized signature is required.
  • An electronic transcript is considered official if it comes directly from a secure vendor.
  • Must be opened by Enrollment Processing Services or an authorized signatory.

Unofficial Transcript criteria:

  • Does not have the school's seal (raised or printed).
  • If the transcript has been opened before submitting by anyone other than an EPS staff member.
    If opened by any other department within NSU in error, it needs to be sent to the University Registrar's Office with the envelope it was received in and with an explanation of why it was opened instead of being submitted directly to EPS.
  • If the transcript was faxed or emailed by the student.
  • Transcript says "Copy of Official Transcript".
  • Transcript has school's name but states "Unofficial Transcript".
  • Electronic Transcript emailed by the institution without using a secure vendor.

  • Looks like a transcript, but there is a "URL" at the top or bottom of the page which indicates the student printed it from a self-service student portal.
  • Academic History and/or Advising Report (like our CAPP report).
  • MyBC, My Academic, or any "My" report which signifies a self-service student portal.
  • Document called a "report" and not a "transcript."

A "Scan only" document is processed by EPS and entered into the imaging system. A work flow is created for the application and an application fee is charged.

A "Back File" is a document that has already been processed by EPS and has been entered in the imaging system with a status Back File (BF). Data Entry rejects any Back File applications that are received in their queue since Back Files receive no Data Entry, no workflow and no application fee.

When admissions documents need to be imaged, please use a Blue EPS envelope to expedite the delivery of your documents.

Blue EPS envelopes are designated "For Admissions Documents ONLY."

Financial aid or data entry documents must arrive in a regular, manila inter-office envelope unless a blue envelope is designated for a specific area.

Each specific area has its own blue envelopes. Please be sure to match your documents to the labels on the envelopes to ensure proper and expedited processing.

Use of a manila envelope addressed to EPS/Financial Aid or EPS/Data Entry (DE) will ensure proper processing of your documents.
