College of Dental Medicine (CDM)—Predoctoral Program 2025–2026 111 • Students withdrawing from the program without submitting and/or completing the required documentation may receive a failing grade for the courses in the semester during which they are withdrawing. No withdrawals are allowed once there are only three weeks left in a course/semester. Students failing to complete a course and/or semester at or after this time frame will receive the grade they earned as of their date of withdrawal, in each course. 11. Withdrawal from a Course Withdrawal by students from an individual course or courses is not permitted, except under special circumstances such as leave of absence or administrative break in enrollment (see section on Leave of Absence below). Final approval of a student’s request to withdraw from a course(s) is at the dean’s discretion. Withdrawal from a course or courses must be distinguished from a withdrawal from the CDM (see section on Withdrawal from the CDM preceding this section). 12. Leave from Studies A leave of absence is defined as an extended period of time away from CDM activities that may become necessary due to personal, financial, or medical reasons; pregnancy and childbirth; prolonged illness; or personal matters of significant gravity. It is recognized that students may need to temporarily discontinue all coursework (which includes clinical rotations) either voluntarily or by administrative action. This can occur through a leave of absence (LOA) or an administrative break in enrollment. Leave of Absence (LOA) A leave of absence (LOA) is a university-approved temporary period of time during which the student is not in attendance, but is not considered withdrawn from the university. Students who experience extenuating and unavoidable circumstances that prevent them from maintaining an active status through continuous enrollment must consult with the Office of Student Affairs to determine whether their circumstances warrant an LOA request and to discuss the impacts of an approved LOA on their degree/program completion, academic standing, course grades, and conditions for return. Financial aid recipients who wish to request an LOA must also consult with a financial aid counselor to learn about impacts on their financial aid eligibility. An LOA request must be submitted at least 14 days prior to the beginning of the semester/term for the leave. Leaves requested after the semester/term has begun will be considered for approval only in a documented extreme circumstance. An approved LOA may be granted for up to 180 days within a 12-month period. All leave time is counted toward the graduation requirement of completing the program within a maximum of five years from the date of matriculation into the CDM or, for transfer students, the date of matriculation into their original college of dental medicine.
