Event Planning Information

Using HPD Facilities

The first person to contact is April Mitchison (ext. 21521), she is the Academic and Special Event Coordinator for The Health Professions Divisions of NSU.

Any requests for the event involving physical plant and set up are to be processed through her.

Parking On-Site

To reserve parking spaces (if necessary) for an event, contact Public Safety and speak with Glenn Ikalina at ext. 28944 and also send something in writing stating your needs

It is also recommended to have outdoor directional signs to help guide the guests to the designated parking areas. These directional signs can be ordered through Facilities Management. The Office of Special Events & Projects also has some directional signage that is available upon request.

Public Safety

It is in your best interest to inform Public Safety when you are hosting an event on campus. They will be able to assist in directing your guests to the proper location as well as provide security.

Reserved Seating at Event

All reserved seating for dignitaries should have the name of the guest placed on the assigned seat. An usher or host should seat each person, removing the sign before the guest is seated.

Time Certain

Each event should maintain an accurate time certain, meaning that everything scheduled for the event has been assigned a specific time to take place. This is extremely beneficial when someone is detained or unable to attend due to illness or accident and another individual needs to fill in for him or her.

Use of Easels

If you are using easels to display welcome, directional and/or informational signs, please use a plant to fill in the space underneath the easel to cover the legs. Two small sized plants or one fairly large plant covers the legs of the easel sufficiently. Easels can be requested from the Office of Special Events & Projects by completing the proper request form.

Requesting party is responsible for making arrangements to pick up all items from the Office of Special Events & Projects.

Proper Table Dressing

All tables should be skirted and draped all the way around.

Office of Special Events & Projects

The Office of Special Events & Projects is available to assist you and your department with many aspects of your events:

  • The planning process - available to meet with you prior to your event to discuss ideas and offer suggestions to ensure that your event is representing NSU properly and that accommodations are made for any special guests.
  • At the event – staff is available to volunteer and assist at the event in many capacities. (i.e. ushers, greeters, directional assistance, set up, etc.)
  • Liaisons to the president – greet the president at the event, go over his involvement in the event and escort him to where he needs to be.
  • Vendor resource – assist with recommending or suggesting promotional items/honoring gifts, florists and decorations for your event.
  • Location selection – assist with recommending a proper location to hold your event.

Outside Groups Using NSU Facilities

Any outside organization that selected NSU as a location to hold an event or meeting, should be required to sign a contract or agreement to reserve the space and time. The Office of Facilities Management has a contract that is signed by outside groups when they use the campus to host an event, as does the LRITC, The Rose and Alfred Miniaci Performing Arts Center, and the Office of Special Events & Projects.
