Managing Old Mail

Instructions for saving and forwarding email messages stored in the previous systems.

The deadline for students to move to the Live@edu email system is based on which school they are currently enrolled in.

Any mail stored in the previous SharkLink (Old Mail) or Webmail systems should be forwarded, saved, or deleted as soon as possible. It has not yet been decided how long students will have to manage their old saved mail. If your SharkLink (Old Email) or NSU Webmail still contains messages stored on NSU servers, you will need to delete, forward, or save your messages as soon as possible.

NSU Webmail
  1. Save Messages To Your Personal Computer From NSU Webmail
    1. Log into your webmail account at webmail.nova.edu;
    2. Locate "Folders" from the icons that run horizontally across the top of the interface and click it; View Image
    3. Select the folders you wish to save to your computer by clicking the box to the left of the folder name; View Image
    4. Locate the "Choose Action" drop down menu just above the list of folders and select either "Download Folders" to save the selected folder(s) into MBOX format, or "Download Folders [zip format]" to save the selected folder(s) into a zip file. View Image
  2. Forward Messages To Another Account From NSU Webamil (Note: When forwarding messages in this manner it is best to select no more than twelve messages at a time; the 25mb per send limit also still applies)
    1. Log into your webmail account at webmail.nova.edu;
    2. Locate the "Open Folder" drop down in the upper right of the interface and select the folder containing the messages you wish to forward. You should then see the messages populate the view pane in the center of the interface; View Image
    3. Select the messages you wish to forward by clicking the box on the left side of the message in the view pane (you can select all messages by choosing the top box in the header row);
    4. Locate the "Forward" link in the light gray action bar above the listing of messages and click it to go to the Message Composition window; View Image
    5. Confirm that the subject line reads "Fwd: X Forwarded Messages" and that the attachments listed at the bottom of the interface are the messages you wish to forward;
    6. In the "To" field, fill in the email address to which you wish to forward the messages and then click "Send Message."
    7. Repeat this process for all messages in all folders you wish to forward to another account.
SharkLink (Old Mail)
  1. Save Messages To Your Personal Computer From SharkLink (Old Mail)
    Saving your messages stored in the SharkLink (Old Mail) system requires you to use both the previous NSU Webmail and the SharkLink (Old Mail) interface.  
    1. Log into your webmail account at webmail.nova.edu;
    2. Locate "Folders" from the icons that run horizontally across the top of the interface and click it; View Image
    3. If the Folder you wish to save shows in the list:
      1. Select the folders you wish to save to your computer by clicking the box to the left of the folder name; View Image
      2. Locate the "Choose Action" drop down menu just above the list of folders and select either "Download Folders" to save the selected folder(s) into MBOX format, or "Download Folders [zip format]" to save the selected folder(s) into a zip file. View Image
    4. If the Folder you wish to save does not show in the list, create a new folder in the Webmail interface and then move your SharkLink (Old Mail) into that folder. To do this:
      1. Locate the "Choose Action" drop down menu just above the list of folders and select "Create Folder" (you may need to be sure pop-up blockers are off); View Image
      2. Type the name of the new folder you wish to create into the pop up. Your new folder should appear in the list after a moment; View Image
      3. Return to the SharkLink (Old Mail) interface;
      4. You should now see a folder called "mail" below your Drafts folder. Click the expand (+) icon to the right of "mail" to find the new folder you created in the NSU Webamil interface. This folder will appear to be named "mail, New Folder"; View Image
      5. Manually move the messages you wish to save into the new folder you created in the NSU Webmail interface.
        1. Open the folder containing the messages you wish to save and select the messages in the message view pane by clicking the box to the left of each message (note: you can select all messages in a folder by clicking the blue double check box in the header row of the message view pane); View Image
        2. Locate the "Move To Folder" drop down and select the Folder you created in the NSU Webmail interface.
    5. Once you have moved your SharkLink (Old Mail) into the new folder, follow the instructions in Step 3 and save the desired messages to your personal computer in the format that woks best for you.
      1. Select the folders you wish to save to your computer by clicking the box to the left of the folder name;
      2. Locate the "Choose Action" drop down menu just above the list of folders and select either "Download Folders" to save the selected folder(s) into MBOX format, or "Download Folders [zip format]" to save the selected folder(s) into a zip file.
  2. Forward Messages To Another Account From SharkLink (Old Mail)
    (Note: When forwarding messages in this manner it is best to select no more than twelve messages at a time; the 25mb per send limit also still applies) If you only have a handful of messages to forward from the SharkLink (Old Mail) system, the best way to forward them is individually. To do this, view the message and select "Forward" or "Forward Inline" from the options at the top of the message view pane and fill in the new email address you wish to send the messages to. If you have a number of messages, it will be best to forward them in batches. To do this, you will have to use both the SharkLink (Old Mail) interface and the NSU Webmail interface.
    1. Log into your webmail account at webmail.nova.edu;
    2. Locate the "Open Folder" drop down in the upper right of the interface;
    3. If the Folder containing the messages you wish to forward shows in the list: View Image
      1. Select the messages you wish to forward by clicking the box on the left side of the message in the view pane (you can select all messages by choosing the top box in the header row); View Image
      2. Locate the "Forward" link in the light gray action bar above the listing of messages and click it to go to the Message Composition window
      3. Confirm that the subject line reads "Fwd: X Forwarded Messages" and that the attachments listed at the bottom of the interface are the messages you wish to forward;
      4. In the "To" field, fill in the email address to which you wish to forward the messages and then click "Send Message."
      5. Repeat this process for all messages in all folders you wish to forward to another account.
    4. If the Folder containing the messages you wish to forward does not show in the list, create a new folder in the Webmail interface and then move your SharkLink (Old Mail) into that folder. To do this:
      1. Locate the "Choose Action" drop down menu just above the list of folders and select "Create Folder" (you may need to be sure pop-up blockers are off);
      2. Type the name of the new folder you wish to create into the pop up. Your new folder should appear in the list after a moment; 
      3. Return to the SharkLink (Old Mail) interface;
      4. You should now see a folder called "mail" below your Drafts folder. Click the expand (+) icon to the right of "mail" to find the new folder you created in the NSU Webamil interface. This folder will appear to be named "mail, New Folder"; View Image
      5. Manually move the messages you wish to save into the new folder you created in the NSU Webmail interface.
        1. Open the folder containing the messages you wish to save and select the messages in the message view pane by clicking the box to the left of each message (note: you can select all messages in a folder by clicking the blue double check box in the header row of the message view pane); View Image
        2. Locate the "Move To Folder" drop down and select the Folder you created in the NSU Webmail interface.
    5. Once you have moved your SharkLink (Old Mail) into the new folder, follow the instructions in Step 3 and forward the desired messages to your alternate email account.
      1. Select the messages you wish to forward by clicking the box on the left side of the message in the view pane (you can select all messages by choosing the top box in the header row);
      2. Locate the "Forward" link in the light gray action bar above the listing of messages and click it to go to the Message Composition window;
      3. Confirm that the subject line reads "Fwd: X Forwarded Messages" and that the attachments listed at the bottom of the interface are the messages you wish to forward;
      4. In the "To" field, fill in the email address to which you wish to forward the messages and then click "Send Message."
      5. Repeat this process for all messages in all folders you wish to forward to another account.
Saving Your Address Book in SharkLink (Old Mail)

To save your SharkLink (Old Mail) Address Book for use with another email system, simply:

  1. Click on the "Address Book" tab in the Old Mail system.
  2. Click on the Import/Export Icon (This will open a new Import/Export window)
  3. In the lower Export section of the new window, select your Export Format
    1. If you will be using the Live@edu web based client through SharkLink or accessing your mail directly through outlook.com the best format to choose is "Microsoft Outlook CSV"
    2. If you will be using another email program or web client to access your NSU email, you choose from the following formats:
      • Netscape Communications Address Book (LDIF)
      • Microsoft Outlook (CSV)
      • Address Book (CSV)
      • Mozilla Thunderbird (CSV)
      • vCard (VCF)
      Consult the documentation for your preferred program or client to know which file type best suits your needs.
  4. Click the "Export" button to save the Address Book file locally to your personal device.
