About Leasing to Outside Groups

All outside groups are required to complete the Facilities Leasing Request Form for any space on any of NSU's campuses/properties. All NSU colleges, schools, centers, and administrative offices must refer outside groups that contact them to the Office of Facilities Management.

The rental, use or enjoyment of University facilities or services by any group or organization which discriminates on the basis of race, color, national origin, religion, disability or sex will not be permitted.

Leasing Policy

The organization requesting use of NSU facilities must execute the Application and Lease form and shall comply with and abide by the following regulations:

  1. Arrangements: The user must make detailed arrangements with the conference coordinator in NSU’s Office of Facilities Management at least thirty (30) days in advance of the event.
  2. Taxes: With respect to each payment required to be made by the user to the University, the user shall pay to NSU any sales, use or excise tax imposed on or levied against such payment.
  3. Compliance with Laws: The user shall comply with all applicable laws, regulations, codes or ordinances relating to its occupancy and use of the facilities.
  4. Release from Liability: In further consideration for NSU allowing the use of its facilities, the user agrees that NSU shall not be liable damage or loss to any property from any cause whatsoever, including, but not limited to the negligence of NSU, its agents, employees or contractors, except in the event such damage or loss results solely from the gross negligence of NSU.
  5. Insurance: The user shall be required to furnish commercial general liability insurance with limits no less than One Million Dollars ($1,000,000) per occurrence and Two Million Dollars ($2,000,000) annual aggregate. NSU shall be added to the user’s insurance policy as an additional insured during the term of the agreement.

    Evidence of coverage shall be submitted to NSU's Office of Facilities Management at least two weeks prior to the requested date for use of NSU facilities, and shall be in the form of a Certificate of Insurance issued by the insurance company. The insurance company must be acceptable to NSU. The Certificate of Insurance and the policy must contain a provision that coverage will not be canceled or changed without first providing thirty (30) days prior written notice to NSU.
  6. Indemnification: The user agrees to indemnify and hold NSU harmless from and against any actions, liabilities, damages, costs and expenses (including, without limitation, reasonable attorney’s fees) asserted against or incurred by NSU resulting from or in any way connected with the negligence, acts or omissions of the user, its agents, employees, contractors or invitees.
  7. Services: NSU will not be required to provide to the user any publicity or informational services or general business services.
  8. Equipment: NSU will not provide the user with any equipment or other personal property except as specifically agreed upon in writing by NSU’s Office of Facilities Management.
  9. Assignment and Subletting: The user shall not assign its interest in the agreement nor sublet all or part of NSU facility which it is permitted to use.
  10. Alterations: No alteration, addition or improvement of any kind is to be made by the user to any NSU facility or any other NSU property.
  11. Alcoholic Beverages: Alcoholic beverages may not be brought onto NSU campus unless first authorized in writing by the NSU’s Office of Facilities Management.
  12. Smoking: Smoking is not permitted in any NSU facility.
  13. Hazardous Wastes: The user shall neither cause nor permit any NSU facility to be used to generate, manufacture, refine, transport, treat, store, handle, dispose, transfer, produce or process any "Hazardous Wastes", "Hazardous Materials", or "Hazardous Substances" as those terms are defined in any federal, state, county, or municipal law, regulation, ordinance or rule.
  14. Radon: Radon is a naturally occurring radioactive gas that, when it has accumulated in a building in sufficient quantities, may present health risks to persons who are exposed to it over time. Levels of radon that exceed federal and state guidelines have been found in buildings in Florida. Additional information regarding radon and radon testing may be obtained from your county public health unit.
  15. Regulations: The user shall observe and comply with all regulations, policies and procedures promulgated by NSU relating to NSU facilities and resources, access thereto, and the use of such facilities. The user’s students, faculty, and staff shall be subject to and shall comply with and abide by all other applicable NSU regulations, policies and procedures.
  16. Signs: No signs shall be installed by the user without first obtaining NSU’s prior written consent.
  17. Catering: Chartwell is the exclusive provider of all catered food service events at NSU and can be reached at (954) 262-5302.

Leasing Procedures

  • Once the completed Facilities Request Form is submitted, it will be reviewed within 7-10 business days. Once reviewed, permission will then be granted or denied to the requester.
  • An insurance certificate is required and must show commercial general liability insurance with a limit no less than $1,000,000 for bodily injury or death per person/per occurrence and no less than $500,000 for property damage per occurrence.
  • NSU shall be added to the user's insurance policy as an additional insured during the term of the agreement.
  • Rental fee for facility is based on purpose, number of participants, and facility.
  • There may be additional costs for specific set-ups and cleaning.
